Technical Overview
The Client
National Savings Bank (NSB) is one of the leading state-owned banks in Sri Lanka, serving a wide network of customers across the country through its extensive branch network. As part of its digital transformation initiative, NSB required a large-scale document digitization solution to convert its physical records into a searchable and accessible digital format.
Requirement
NSB required Scanning, Data Entry, Database Creation and Bulk Upload of documents to its Document Management System (DMS). The source documents were the Bank's 'Account Opening Forms', collected from over 250 branches located across the island. Given the scale and geographical spread of the operation, the project needed to be carried out simultaneously across multiple locations while maintaining consistency, accuracy and data integrity throughout.

The Challenge
- The sheer scale of the project, spanning more than 250 branches and over 30 million documents, demanded a highly coordinated approach with 4 parallel scanning sites running simultaneously.
- Beyond the scanning and indexing effort, the greatest challenge was uploading the scanned documents together with their metadata into NSB's existing Document Management System.
- The Bank's existing DMS did not have a bulk uploading facility capable of accommodating a volume of this magnitude, and manual upload was simply not a viable option within the project timelines.
Our Approach
We deployed our own in-house Application Software, developed by our Development Centre, together with the necessary hardware infrastructure — including storage systems, desktop PCs and industry-standard scanners — to carry out scanning and indexing at the required scale. Operating 4 parallel scanning sites simultaneously allowed us to process the high volume of documents efficiently while meeting strict project timelines across all 250+ branches.
To overcome the absence of a bulk uploading facility in NSB's Document Management System, our software development team engineered a web-based automated uploading solution using Selenium WebDriver. This automation enabled scanned images and their associated metadata to be uploaded to the DMS reliably and at scale, without requiring any manual intervention for each record.
Our experienced staff, including a System Architect (CompTIA Certified Document Imaging Architect — CDIA+, certified in 2011), a Project Manager, an Operational Manager and a team of supervisors, were closely involved throughout the project to ensure that this challenge was successfully overcome.

The project was successfully completed in 2024, resulting in the digitization and bulk upload of over 30 million Account Opening Forms into National Savings Bank's Document Management System.
Through the use of our proprietary application software and a custom-built Selenium WebDriver-based automated uploading system, we were able to overcome the bulk upload limitations and deliver one of the largest digitization projects, by volume, ever undertaken in Sri Lanka. NSB now benefits from fast, reliable and centralized access to customer account records, significantly improving operational efficiency across its branch network.
